Marine Claim Settlement Procedures

Ike Trading would like to assure you that all claim matters will be handled promptly and professionally with your satisfaction.

To establish the evidence for an insurance claim and to help Ike Trading recover any losses from insurance, we would like to ask your cooperation. Please provide the followings once a potential claim is discovered:

  1. A letter from your company, stating what is damaged or missing, and the salvage value on damaged materials. Alternatively our “Marine Claim Filing by Customer” form could be used.
  2. Pictures, which are always required by the insurance company, showing the damages when materials arrived into your warehouse. Digital pictures are most effective and helpful to prompt claim settlement.
  3. Trucker’s delivery receipts, noting the exceptions at time of pickup or delivery. This will help identify when and where the plywood was damaged. If the plywood is damaged upon delivery, please make sure that you note the exceptions on the “trucker’s delivery receipts.”
  4. Please notify our sales agent immediately if it is a shortage claim. We will get the “dock delivery receipt” from the steamship agents
  5. All damage claims must be filed within 30 days after delivery.

We appreciate your cooperation in this matters, it is crucial that you follow the above procedure and provide all required evidence to substantiate your claim. Once a claim is settled, a credit will be issued to your company as claim settlement. However, it is appreciated if you do not make deduction on our invoices without our consent before claim settlement.

With your kind assistance, we will do our best to make sure that all claim matters will be resolved to your satisfaction.

Quality Claim Settlement Procedures

Ike Trading would like to assure you that all claim matters will be handled promptly and professionally with your satisfaction.

Plywood with quality problems must be made known to our sales agents or Ike Trading as soon as the problem is discovered. Because quality problems are manufacturing defects, sufficient evidence is required by the mill for verification, approval and settlement. To present claim proposal to the mill properly and accurately and to help Ike Trading negotiate claim settlement with the mill we would like to ask your cooperation. Please provide the followings once a potential claim is discovered:

  1. A letter from your company, stating what the quality problemsare and the possible salvage value on claimed materials is. Alternatively our “Quality Claim Filing by Customer” form could be used.
  2. Samples of defective materials showing mill, mark, other marks if available, and defects to identify nature of the claim and the manufacturer. Mill identification is extremely important. We have mill identification code on edge of plywood for Chinese products.
  3. Pictures showing defects and the quantity involved. This is extremely important to substantiate your claim amount. Mill requires sufficient amount of pictures.
  4. Upon mill’s request, Ike Trading or its agent may need to perform an inspection to verify the quality problem and to make sure that defective material is the mill’s production. Those materials must be set aside unused for possible inspection by the mill. It is crucial that Ike Trading is notified on any quality claims soon enough so that such inspections can be performed if needed.
  5. In most cases, the maximum claim settlement is limited to the value of the defective plywood. Claims that exceed the costs of defective materials must be presented to mill for approval.
  6. All quality claims must be filed within 30 days after delivery.

We appreciate your cooperation in this matters, it is crucial that you follow the above procedure and provide all required evidence to substantiate your claim.
